NKT is a global, recognized provider of turnkey AC/DC cable solutions for electrical infrastructure, construction and railway industries. The company is present in 37 markets and boasts some of the most modern manufacturing facilities in Europe. This thesis will focus on the Document Management Department of NKT GmbH & Co. KG. The benefits and risks that the company might face, if it were to implement an operational offshore outsourcing, are analyzed using India as an example. The hypothetical case study in this thesis reflects the day-to-day activities within the department of Document Management, where the Author of this thesis is the Team Lead since July 2020. Based on the success story of Swedish companies, specifically ABB outsourcing in India, the Author chose to simulate the scenario of a potential outsource for some operations of Document Management in India. Corporate Boardrooms require transparent and detailed analysis of risks and opportunities, finance, human resources (HR), data privacy before deciding on outsourcing a specific operation of a department. As opposed to supply-chain areas of the business, document management is well suited to remote work requiring few specialized physical resources. Thus, outsourcing of tasks from this department shows great potential for outsourcing to low-cost countries with highly skilled professionals. The aim of this study is to show that the strategy is feasible and profitable for the company after considering the potential risks and opportunities, the awareness of the cultural and time-zone differences between the two countries, the information service the company have to apply to ensure data privacy. The study of financial indicators will be done through the NPV. The Author choose to evaluate the expected profitability of the strategy through the Net Present Value (NPV) by extracting today´s value of the future cash flows that the new team structure would generate in 2025. Examination of the risks and opportunities will be based on the methodology used in the Guidelines of ISO 31000: 2018. The operational, information and technology (IT) aspects and the quality will be implemented as per internal company processes, based on the PMBOK Guide: Sixth Edition. Focus will be given to details of workload organization, the interface of the resources in India and the team in Germany etc. After taking into consideration the above studies, offshore outsourcing would be an optimal solution for the Document Management Department but only if the operations that do not directly interface with German customers or which require local presence in the manufacturing units are outsourced. This is to avoid the language risk and to make sure that the department’s workload will be managed centrally from the department team lead in Germany. Tasks will be assigned through continuous work packages for the resources in India. This strategy will ensure internal quality control in Germany before deliverables are dispatched to customers. A specific core timetable will be developed providing continuous internal and external service, satisfying daily requests from stakeholders. This study shows that offshore outsourcing in India could enable the NKT Document Management Department the opportunity to onboard IT skilled colleagues with an accessible cost. Considering the positive NPV final result, and the demonstrated total savings per each year, the new team structure incl. 4 offshore FTE,3 internal and 3 consultants.
